Two companies in the chemicals industry are merging a part of their activities into one company. To optimise the communication and collaboration between the two cultures, Devoteam has been asked to achieve a smooth migration from two separate environments to a Microsoft 365 digital workplace.
The two companies who are merging a part of their activities are active in the field of chemical materials and polyamides. Together, they employ over 5.000 people worldwide. As their joint cloud platform for the future, they chose Microsoft 365. Since each company uses a different collaboration solution, governance and standardisation needed to be put in place for each workload. In addition, change management was crucial to merge two cultures and technological backgrounds.
Staff members of one company were required to migrate from the Google platform to Microsoft 365 with a hard cut-off date. Employees of the other company were needed to move to O365 from an on-premises Microsoft environment. Workloads had to be migrated case-by-case to either SharePoint, Teams, OneDrive or Exchange.
Devoteam’s mission was to merge the two businesses’ digital identities into one scalable platform that is transparent, highly secure and offers a single version of the truth to all employees. All the while ensuring full business continuity during the migration of data, workflows and solutions, and avoiding all unwanted loss of data.
Buy a new license. Plug. Play. If it were only this easy. Instead, a lot of important questions needed to be answered first. What are we going to use the platform for? What documents will be stored? How to guarantee confidentiality? What about security and the risks of exposing? No loose ends. In order to reach optimal results, Devoteam set out to create a specialised team, including a functional analyst, a cyber security expert, a Microsoft Cloud architect and a modern workplace engineer.
Having the client on board with this approach, our experts designed a roadmap for data, workflow and solution design, and migration from the two different platforms to Microsoft 365.
This workflow consisted of five different steps:
- Analysis of current environments and design of an identity foundation
- Evaluation, concept development and change management strategy
- Preparation of data and documents (group, classify or exclude)
- Final decisions on migration, governance, archiving, target platform, etc.
- Implementation of the migration, incl. status reports and quality control
The end result is a solid, versatile and transparent cloud platform solution that merges two cultures, creates a single source of the truth for all employees and encourages collaboration through a consistent, user-friendly interface.
Moving all employees and workloads to one cloud platform created business value in different ways. Working together with the same tooling, including e-mail, meeting rooms and contact lists, has made collaboration a lot easier. Instead of creating a we-against-them culture, the O365 cloud workplace is actively supporting an all-for-one atmosphere from day one. The system is also much easier to manage and support, with only one technical environment that must be kept up to date.
Due to platform standardisation and a single version of the truth, new opportunities emerged. The company was able to cut costs by optimising processes and streamlining activities that are currently done in multiple ways, enhance scalability and implement a consistent digital look-and-feel. On top of that, the migration also appeared to be the perfect opportunity to clean up unused data and documents.
